Microsoft Rollout FAQs:  

Here are answers to some of the frequently asked questions we have heard. Please join one of our Open Q&A Sessions on the Calendar to learn more 
 
 

GENERAL 

 
 

  1. Will our current room kits still work?  
    Yes, our room kits are Cisco, which integrates with every meeting platform.  
     

  1. Can we still collaborate in real time?  
    Yes, there is collaboration in all the Microsoft offerings, including Word, Excel, PowerPoint.  
     

  1. Will our current Google sheets/slides be transferred into SharePoint?  
    Yes, all files will migrate into your OneDrive. 
     

  1. Can I still access my existing Google drive?  
    Yes, you can still access Google Drive while we work to migrate all files into Microsoft. We will be creating an archive of old files as well in case there would ever be a need to go back and find an old file. We encourage you to download to their personal laptop for ease of accessing any historical files.  
     

  1. Does this mean Webex is going away?  
    No, but you will have the option to use Teams and/or Zoom, and even Google Meet if there is a client need.  
     

  1. We have a lot of status/tracking documents living as Google Sheets. Does Microsoft have better software for this we should using instead of setting up new Excel docs?  
    Moving forward, WorkFront should be used for status documentation and dashboards. Work with your Project Manager to ensure WF is meeting your internal and client needs.  
     
    If it’s not WorkFront appropriate, you can still use Google Sheets until the OneDrive migration is complete.  

 
If you’re creating any new document, spreadsheet or deck, create it in the Microsoft suite. 

 

  1. When transferring GSlides deck, there are currently videos linked from the G-Drive. Will those videos still play and be available?  

We are testing this out. Some links do break and videos may not play. Videos on G-drive will be part of the G-drive migration plan.  
 

  1. If online accounts were made with a Barkleyus email address, like my insurance or 401(k) portal, will I need to update my usernames to reflect my new BarkleyOKRP email?   
    These accounts will still be accessible with the BarkleyUS email address. All former addresses (BarkleyUS, BarkleyREI, and Smiths) will be set up as aliases for your BarkleyOKRP email address.  
     
    We do recommend however to try and update the addresses on these sites to the new BarkleyOKRP. *They will also be accessible with BarkleyREI and Smiths as well. OKRP may not have immediate access until we gain control of their domain so we are working on that. 
     

  1. When will we see all google drive docs/sheets/etc. migrate over to OneDrive? 
    We are working through these migrations. We anticipate them being done by the end of June. There’s a lot of data! 

 

  1.  I’ve heard both PowerPoint and Keynote. Has there been a decision on which of these platforms we will be using as a company for replacing Google Slides?  
    We are currently still planning to use both, but we are exploring the idea of consolidating to one for ease of collaboration and consistency of platform differences.  
     

  1.  Does Workfront have an integration with Microsoft or whatever cloud storage we'll be using?  
    Yes, Workfront will integrate with Microsoft.  
     
     

MICROSOFT OUTLOOK (email + calendar) 
 

  1. I’m not seeing any new emails / calendar invites for several days. What gives? 
    You likely have too large of an inbox prior to migration. Please reach out to [email protected]. 
     

  1.  How do I turn off notifications? 

System settings, search for notifications, scroll down and find Microsoft Teams, Toggle on, select how you want them to show on your computer.  
 

  1. What if we have already had to transition from a previous email (e.g. from Smiths or REI), will the emails now be on a double forward?  
    No, not a double forward. All legacy addresses will now point to the new BarkleyOKRP email. This applies to all prior addresses; OKRP, Barkleyus, BarkleyREI, and Smiths.  
     

  1. How do I change my full name to a preferred name in Microsoft/Outlook/Teams?  
    If Microsoft is not displaying your preferred name, please reach out to the service desk at [email protected] and they will correct it. 
     

  1.  Will our old barkleyus emails feed into the new barkleyokrp email addresses?  
    Yes.  
     

  1.  Will distribution lists be migrated over?  
    Yes. All distros will be moved over. They will just end in @barkleyokrp.com now.  
     

  1. Can I remove “canceled” events from my Outlook? 
    Settings (gear icon), events and invitations, check “delete invitations”. 

 

 

MICROSOFT TEAMS (chat + video meetings) 
 

  1.  I notice there are chats within Teams Calls, which carry over into the Teams app. But why is this the case? 
    This feature conveniently captures all chats from your video calls, ensuring you don't need to manually save every comment or link shared during each call. 
     
    However, it's crucial to note that this also means anyone participating in your video call, including clients, will have access to your Teams app chat. 
     

  1.  How do I join a Teams Group like “Women at Barkley”? 
    In the Teams app, click on “Teams” on the left-side panel, then click the “+” button, click “join team”, and that will allow you to join any public teams. 
     
    If you want to join a private space, someone in that group needs to invite you.
